Terms & Conditions of Legend Travel Group

Thank you for choosing Legend Travel Group for your travel adventures in Southeast Asia. These Terms and Conditions govern your booking with us and outline your rights and responsibilities. By making a booking, you acknowledge that you have read, understood, and agree to be bound by these terms. If you are booking on behalf of others, you confirm your authority to accept these terms on their behalf. Please review this document carefully and contact us at info@legendtravelgroup.com with any questions.

  • 1. Introduction

    These Terms and Conditions (hereinafter "Terms") form a legally binding agreement between you (the "Client") and Legend Travel Group Co., Ltd. ("Legend Travel Group," "we," "us," or "our") for all travel services, including tours, packages, and tailor-made travel arrangements in Southeast Asia (Vietnam, Cambodia, Laos, Thailand, Myanmar, Malaysia). This agreement applies to all bookings made directly with us or through our authorized agents.

    Our commitment is to deliver exceptional, seamless, and memorable travel experiences. With over 18 years of experience serving hundreds of thousands of clients, we leverage advanced technology, robust infrastructure, and unparalleled expertise to ensure your journey—from booking to travel—is effortless, secure, and enjoyable.

    These Terms are designed to comply with international standards and Vietnamese law, including the Law on Tourism 2017 and the Civil Code 2015. We reserve the right to update these Terms, with changes posted on our website (www.legendtravelgroup.com) and effective upon posting.

  • 2. Booking Policies

    2.1 Booking Contract

    A booking is confirmed, and these Terms apply, when Legend Travel Group or an authorized agent receives the required deposit (see Section 3) and issues written confirmation to the Client. The contract is effective upon receipt of this confirmation.

    2.2 Validity

    All dates, itineraries, and prices are specified in the tour or package details or tailor-made offers. Prices are subject to change based on demand, market conditions, or availability, as is standard in the travel industry. Once a deposit is paid, the quoted price is locked in until the quote’s expiry date, unless otherwise stated.

    2.3 Booking Amendments

    At Legend Travel Group, we prioritize your flexibility and convenience. The first two amendments per booking are free of charge. Subsequent changes incur a USD $10 administrative fee, plus any applicable third-party costs (e.g., from hotels, airlines, or ground operators). Amendments within 7 days of departure may be accommodated in exceptional cases, subject to availability and third-party fees. We work closely with you to ensure a seamless experience, keeping your travel plans on track.

    2.4 Guaranteed Departures

    We guarantee that all tours will operate as scheduled, regardless of the number of participants, even for solo travelers. This ensures you can book with confidence, free from cancellation risks on our part, except in cases of force majeure (see Section 8).

  • 3. Payment Terms

    3.1 Deposit Requirement

    A deposit of 10% of the total tour cost is required at the time of booking, regardless of the booking date. This deposit secures your reservation and locks in the quoted price.

    3.2 Lifetime Deposit

    At Legend Travel Group, we prioritize your flexibility and peace of mind. If you cancel your booking for reasons other than non-payment or breach of these Terms, up to 10% of the tour cost can be retained as a lifetime deposit in the form of travel credits. These credits can be used at any time to rebook the same tour package or any other Legend Travel Group tour with a total cost equal to or greater than the canceled tour. We safeguard your investment, ensuring maximum convenience by applying these travel credits to your new booking whenever you’re ready to travel again.

    3.3 Final Payment

    The remaining balance (90% of the tour cost) must be paid by the due date specified in your confirmation invoice, typically 30 days prior to departure. Flexible payment options include:

    • Credit/Debit Card: Secure online payments via our advanced payment gateway.

    • Bank Transfer: Processed through trusted banking partners.

    • PayPal: For quick and secure transactions.

    • Cash on Arrival: Up to 60% of the tour cost can be paid in cash upon arrival, subject to prior agreement.

    We are committed to making payments as convenient, secure, and efficient as possible. Clients can discuss custom payment plans with our team to ensure a seamless experience. If the balance is not paid by the due date, we reserve the right to treat the booking as canceled, subject to the cancellation policy (Section 4).

    3.4 Local Payment

    At Legend Travel Group, we ensure transparent pricing with no hidden costs. The tour price stated in your Booking Confirmation is final, and no additional fees will be charged during your tour. For maximum flexibility, up to 60% of the total tour cost can be paid in cash upon arrival at the destination, referred to as the local payment or balance. If you have prepaid the full tour amount before departure, Legend Travel Group guarantees no further charges during your tour. In the rare event of a tour cancellation within 24 hours of departure due to unforeseen circumstances, such as pandemics or travel restrictions, any local payment is fully waived.

    3.5 No Hidden Costs Commiment

    As a leading Southeast Asia tour operator, Legend Travel Group prioritizes your satisfaction and trust. We guarantee that once you book your tour, you will not incur any surcharges, hidden costs, or unexpected fees. Our commitment ensures transparent pricing for a worry-free travel experience. In rare cases, surcharges may only apply due to exceptional circumstances or mandatory third-party requirements, such as significant changes in government regulations or taxes. If such a surcharge exceeds 10% of the tour cost, you may cancel within 14 days of notification and receive a full refund. No credit card processing fees or fuel surcharges will be imposed unless explicitly required by a third party and communicated in advance.

  • 4. Cancellation & Refunds

    4.1 Cancellation by Legend Travel Group

    We may cancel a booking if the full payment is not received by the due date, applying the cancellation charges below. In the unlikely event we cancel a tour (except for force majeure, see Section 8), we will offer a full refund or an alternative tour.

    4.2 Cancellation by the Client

    Cancellations by the Client incur the following charges, based on the date of written notification:

    • 60 days or more prior to departure: 10% of the tour cost is forfeited.

    • 30–59 days prior to departure: 20% of the tour cost is forfeited.

    • 15–29 days prior to departure: 30% of the tour cost is forfeited.

    • 7–14 days prior to departure: 70% of the tour cost is forfeited.

    • Within 6 days prior to departure: 90% of the tour cost is forfeited.

    Deposits may be transferred to a lifetime deposit account (see Section 3.2) for future use, unless the cancellation is due to non-payment or breach of these Terms.

    4.3 Refund Process

    Refunds are processed as follows:

    • Online Payments (Credit Card/PayPal): Refunded within 3–4 business days.

    • Bank Transfers: Refunded within 7 business days to the client’s bank account.

    We ensure prompt and secure refunds, protecting your rights in accordance with Vietnamese law and international standards.

  • 5. Traveler Responsibilities

    5.1 Client Information

    You must provide accurate and complete information at the time of booking, including:

    • Full name (as per passport).

    • Date of birth, nationality, passport number, issue, and expiry dates.

    • Any pre-existing medical conditions that may affect your ability to travel.

    • A completed Self-Assessment form for demanding trips, if requested.

    Failure to provide accurate details may result in cancellation or additional costs, for which you are responsible.

    5.2 Passports and Visas

    You must hold a passport valid for at least 6 months beyond the trip’s end date and obtain all necessary visas, permits, and certificates for the countries visited. Legend Travel Group offers visa assistance services, but you are responsible for ensuring compliance with entry requirements. We are not liable if you are denied entry due to invalid documentation.

    5.3 Health and Fitness

    You must ensure you are physically and mentally fit for the trip. For demanding itineraries, we recommend consulting a medical professional at least two months prior to travel for advice on health requirements, vaccinations, or precautions. You must disclose any conditions that may impact your participation.

    5.4 Age Requirements

    • Minimum Age: Most tours require travelers to be at least 6 years old. Those under 18 must be accompanied by a legal guardian or an appointed escort (over 18) authorized via a signed document.

    • Maximum Age: There is no upper age limit, but you must be fit to participate fully. We can provide details on mandatory health requirements.

    5.5 Conduct

    You agree to comply with the instructions of group leaders, local laws, customs, and regulations of all countries visited. Non-compliance may result in your removal from the tour without refund, and we may refuse future bookings.

  • 6. Travel Insurance

    Comprehensive travel insurance is mandatory for all clients. You must obtain a policy that covers medical emergencies, trip cancellations, delays, and other risks. It is your responsibility to verify that the coverage meets your needs. We recommend purchasing insurance at the time of booking to protect your deposit.

  • 7. Liability & Disclaimers

    7.1 Limitation of Liability

    Legend Travel Group acts as an agent for third-party providers (e.g., hotels, airlines, local operators) and is not responsible for their acts or omissions. We are not liable for:

    • Loss, injury, or damage sustained by the Client.

    • Additional expenses due to delays, accidents, or disruptions caused by third parties or unforeseen events.

    • Failures in contract performance due to:

      • Client errors or omissions.

      • Unforeseeable or unavoidable actions by third parties unconnected to our services.

      • Force majeure events (see Section 8).

    7.2 Itinerary Changes

    We strive to operate tours as advertised but reserve the right to modify itineraries due to local conditions or unforeseen circumstances.

    • Before Departure: Major changes (affecting at least one in five days of the itinerary) will be communicated promptly. You may accept the change, receive a refund for the land portion, or choose an alternative tour.

    • After Departure: Changes due to emergencies (e.g., weather, local conditions) are at your expense for additional costs (e.g., visas, flights).

    7.3 Photos and Marketing

    By participating in our tours, you grant Legend Travel Group a perpetual, royalty-free, worldwide license to use images or videos taken during the trip for promotional purposes, unless you explicitly opt out in writing at booking.

  • 8. Force Majeure

    We are not liable for failure to perform our obligations due to events beyond our control, including but not limited to natural disasters, political unrest, pandemics, strikes, or government actions. In such cases, we will:

    • Offer alternative arrangements where possible.

    • Provide a full refund if no alternatives are feasible.

    • Not cover incidental expenses (e.g., visas, non-refundable flights).

  • 9. Claims & Complaints

    If you have a complaint during your trip, notify your group leader or local representative immediately to allow resolution. If unresolved, submit a written complaint within 30 days of the tour’s end to info@legendtravelgroup.com. We will respond within 30 days. If dissatisfied, you may escalate to the Vietnam Tourism Authority.
